AWARDS & TROPHIES POLICY NOTE

This document establishes the procedures governing League awards, trophies and recognition.

This Policy shall be read in conjunction with the Constitution and Governance Document, Playing Rules and Competition Rules.


1. PURPOSE

a)       To recognise achievement within the Dartmoor Pool League.

b)       To protect League-owned trophies and awards.

c)       To establish consistent procedures for presentation, retention and return of trophies.


2. OFFICIAL LEAGUE AWARDS

The League may recognise achievements including:

Team Awards

• League Champions

• League Runners-Up

• Team Knockout Cup Champions


Individual Awards

• Singles Champion

• Doubles Champions

• Captains Champion

• Break & Dish Award Winner

• Most Frames Won Award Winner


Additional Awards

The Committee may introduce additional awards where considered appropriate, including:

• Most Improved Team

• Sportsmanship Award

• Outstanding Contribution Award

• Committee Recognition Award

• Other awards approved by the Committee


3. DETERMINATION OF AWARDS

a)       League awards shall be determined using official League records only.

b)       League positions shall be determined in accordance with the Playing Rules.

c)       Competition winners shall be determined in accordance with the relevant Competition Rules.

d)       The Committee shall certify all award winners before presentation.


4. TROPHY OWNERSHIP

a)       Unless otherwise stated, all League trophies shall remain the property of the Dartmoor Pool League.

b)       Presentation of a trophy does not transfer ownership.

c)       The League may maintain a register of all trophies in its possession.


5. TROPHY PRESENTATION

a)       Trophies shall normally be presented at a League Presentation Event, AGM or other event determined by the Committee.

b)       The Committee may determine the format and timing of presentations.

c)       Recipients should make reasonable efforts to attend presentation events.


6. TROPHY CARE

a)       Trophy recipients are responsible for the care and safekeeping of trophies whilst in their possession.

b)       Trophies should be stored securely and protected from avoidable damage.

c)       Significant damage, loss or theft shall be reported to the Committee as soon as reasonably practicable.


7. RETURN OF TROPHIES

a)       Trophies shall be returned upon request by the Committee.

b)       Unless otherwise specified, trophies should be returned no later than twenty-eight (28) days before the next scheduled presentation event.

c)       The Committee may specify an alternative return date where necessary.

d)       Failure to return a trophy may result in suspension of future awards until the matter is resolved.


8. DAMAGE OR LOSS

a)       The Committee shall investigate any reported loss or damage.

b)       The Committee may determine whether replacement or repair costs should be recovered.

c)       Factors including accidental damage, negligence and circumstances surrounding the incident may be considered.

d)       Any recovery of costs shall be reasonable and proportionate.


9. ENGRAVING AND RECORDS

a)       The Committee may arrange engraving of trophies where appropriate.

b)       The League should maintain historical records of award winners.

c)       Historical records may be published by the League.


10. RETIRED TROPHIES

a)       The Committee may retire a trophy where it becomes unsuitable for continued use.

b)       Retired trophies shall remain the property of the League unless otherwise determined by the Committee.

c)       Replacement trophies may be commissioned where necessary.


11. HONORARY RECOGNITION

a)       The Committee may award honorary recognition to individuals who have provided significant service to the League.

b)       Such recognition shall not confer governance rights or voting rights unless otherwise provided by the Constitution.


12. DISPUTES

a)       Any dispute relating to awards or trophies shall be referred to the Committee.

b)       The Committee’s decision shall be final.


13. GENERAL PRINCIPLES

a)       Awards exist to recognise achievement, participation and contribution to the League.

b)       Trophies should be treated with respect and care.

c)       Historical records form part of the heritage of the Dartmoor Pool League and should be preserved where possible.

d)       This Policy may be amended by the Committee where necessary.

e)       The Constitution and Governance Document shall take precedence over this Policy.
