PRIVACY NOTICE

The Dartmoor Pool League is committed to protecting the privacy of its members and participants.

This Privacy Notice explains what information the League may collect, why it is collected, how it is used and how it is protected.

1. PURPOSE

a)       To provide transparency regarding the collection and use of personal information.

b)       To support the administration and operation of the League.

c)       To ensure personal information is handled responsibly.

2. INFORMATION WE MAY COLLECT

The League may collect information including:

a)       Name.

b)       Team affiliation.

c)       Contact details.

d)       Captain details.

e)       Competition results.

f)         League statistics.

g)       Committee records.

h)       Disciplinary and appeals records where applicable.

3. WHY INFORMATION IS COLLECTED

Information may be collected for purposes including:

a)       Administering the League.

b)       Registering teams and players.

c)       Organising fixtures and competitions.

d)       Communicating with players and Team Captains.

e)       Recording results and statistics.

f)         Administering disciplinary and appeals processes.

g)       Meeting legal or regulatory obligations where applicable.

4. HOW INFORMATION IS USED

a)       Information shall only be used for legitimate League purposes.

b)       Information shall not be sold or provided to third parties for commercial purposes.

c)       Information may be shared with Committee Members where necessary for League administration.

d)       Information may be published where necessary for the operation of the League, including:

• League tables.

• Competition draws.

• Results.

• Competition winners.

• Awards.

5. PHOTOGRAPHS AND PUBLICITY

a)       The League may publish photographs relating to League activities.

b)       The League may publish competition results, champions and award winners.

c)       Any person with concerns regarding photographs should contact the Committee.

d)       The Committee shall consider reasonable requests relating to photographs and publicity.

6. DATA SECURITY

a)       The Committee shall take reasonable steps to protect information held by the League.

b)       Access to League information should be restricted to those requiring it for League administration.

c)       Records should be stored securely wherever reasonably practicable.

7. DATA RETENTION

a)       Information shall not be retained longer than reasonably necessary.

b)       Historical records relating to League results, champions, Committee membership and League administration may be retained for archival purposes.

c)       Disciplinary and appeals records may be retained where necessary for League administration and consistency.

8. ACCESS AND CORRECTION

a)       Individuals may request correction of inaccurate personal information held by the League.

b)       Requests should be submitted to the Committee.

c)       The Committee shall respond within a reasonable period.

9. CONTACT

Questions relating to this Privacy Notice should be directed to the League Secretary or another designated Committee Member.

10. GENERAL PRINCIPLES

a)       The League shall only collect information reasonably necessary for its operation and administration.

b)       The League shall seek to respect the privacy of all participants.

c)       This Privacy Notice may be updated by the Committee where necessary.

d)       The Constitution and Governance Document shall take precedence over this Privacy Notice where applicable.
