The Cue and Darts Lounge League ("the League," "we," "us," or "our") is committed to protecting the privacy and security of your personal information. This Privacy Policy sets out how we collect, use, store, and share your personal data in connection with your involvement in our pool, snooker, and darts league activities.

We primarily collect data directly from you or your Team Captain when you:

  • Complete an official League Registration Form (either paper or electronic).

  • Submit Match Results or team sheets.

  • Communicate with us via email, phone, or messaging apps (e.g., WhatsApp).

  • Participate in league events and competitions.

 

4. How We Use Your Personal Data (Lawful Basis)

We will only use your personal data when the law allows us to. This is primarily for the following purposes and under the stated legal basis:

  • Team Captains/Officials: Your name and contact number/email may be shared with other Team Captains and League Officials for the sole purpose of arranging fixtures and communicating results.

  • The Cue and Darts Lounge: We may share relevant data (e.g., team name, player names) with the venue management for the purpose of booking tables and managing the venue's involvement.

  • Public Display: Your name, team name, and individual statistics may be published on the league website/noticeboard or social media for the purpose of communicating league standings and results.

  • Legal or Statutory Bodies: We will disclose your data if legally required to do so (e.g., a police request or court order).

We will never sell or rent your personal data to any third party.

 

6. Data Security and Retention

Data Security

We have put in place reasonable security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorised way, altered, or disclosed. This includes:

  • Secure 128bit website with username and strong password

Data Retention

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for satisfying any legal, accounting, or reporting requirements.

  • Active Players: We retain your data while you are a registered member of the League.

  • Former Players: We will generally delete or anonymise your personal data one year after you cease to be a member, unless we are required to keep it longer for legal, accounting, or insurance purposes (e.g., keeping historical results and statistics may be a legitimate interest).

 

7. Your Legal Rights

Under UK GDPR, you have the following rights over your personal data:

  • The right to be informed about how we use your data (as set out in this Policy).

  • The right to access the personal data we hold about you (Subject Access Request).

  • The right to rectification if your data is inaccurate or incomplete.

  • The right to erasure (the 'right to be forgotten') in certain circumstances.
